12. DMSMS, last-time-buy and governed reports
Turn obsolescence evidence into a separately authorised quantity decision and export controlled operational information.
Purpose
Turn obsolescence evidence into a separately authorised quantity decision and export controlled operational information.
Materials Planner, Project / Contract Manager, Auditor
E2E-CA-ACT-001 marked EOL, one qualified source, risk 86; proposed LTB 24 units for project E2E-CA-PROJECT-001.
Before you begin
- Item and named planner/approver exist
- Operational data exists for reports
- Company SMTP and a controlled test recipient are configured
Procedure
- 1
Record the DMSMS assessment and evidence reference.
- 2
Raise an LTB request with its own quantity and authority.
- 3
Have a different Project Manager approve it.
- 4
Export stock ledger, ageing, ABC/VED/FSN, shortage/excess and DMSMS as PDF, CSV and XLSX; open the XLSX and verify title, classification ceiling, typed quantities, filters and frozen header.
- 5
Create a site-scoped XLSX schedule with a classification cap, queue it now and process the notification queue as Tenant Administrator.
- 6
Pause and reactivate the schedule; verify the recipient, native XLSX attachment, message ID and delivery status.
Expected result
- Assessment does not automatically create procurement stock
- Originator cannot approve their own LTB
- Reports are allow-listed, site-scoped and classification-capped—not arbitrary SQL
- Native XLSX uses typed values and spreadsheet-safe text rather than a renamed CSV
- Every export records actor, filter, format and row count
- Scheduled delivery retains sent, retry or dead-letter outcome and never exceeds its configured classification
