Flow 45 — Supplier-invoice statutory tax application
Consume one exact active statutory-profile version and explicit purchase tax rule at supplier-invoice capture, calculate the basis/components and recoverability split on the server, and retain immutable invoice-to-journal provenance.
Overview
Flow 45 creates payable and accounting evidence only through the existing supplier-invoice lifecycle. It never changes receipt quantity, item identity, custody, current stock or stock ledger; it does not infer place of supply, reverse charge, withholding, a statutory number, return or filing.
Accounts Payable Accountant captures/submits → different Finance Controller approves variance → different Finance Accountant posts → Auditor reconciles
Process
- 1Select the exact approved version
Choose the active profile matching entity, site, country, base currency, classification and invoice date.
No inferred jurisdiction - 2State transaction facts
For each received PO line select one eligible NORMAL purchase/goods rule, enter required place of supply and explain the evidence-backed decision.
Explicit input only - 3Calculate deterministically
The server applies approved inclusion, precision and rounding policy and freezes taxable basis, named components and recoverable/nonrecoverable amounts.
Immutable AP evidence - 4Review independently
Submit and approve only after the retained profile/rule fingerprints and any commercial variance revalidate exactly.
Fail closed on mismatch - 5Post exact tax provenance
Post recoverable input tax and any nonrecoverable tax to separate controls while carrying the profile checksum and determination fingerprint on every journal line and source snapshot.
Balanced journals only

Detailed steps
- 1
Open Finance → Invoices as Accounts Payable Accountant and choose the entity plus acknowledged PO whose exact receipt quantity remains available.
- 2
Enter invoice and due dates. Select the exact active approved statutory-profile version offered for the entity, receiving site, country, base currency and date; absence of a match blocks capture.
- 3
For every included PO line, enter quantity and supplier unit price, select an effective NORMAL PURCHASE GOODS/BOTH tax rule, enter place of supply when required and record at least 20 characters of evidence-backed rationale. Never substitute an arbitrary tax total.
- 4
Attach CLEAN same-site supplier-invoice evidence and create the draft. Verify server-returned net basis, named component amounts, recoverable/nonrecoverable split, profile checksum and determination fingerprints.
- 5
Submit as the creator. As a different Finance Controller, accept any price variance explicitly and decide the unchanged invoice. As a third eligible Finance Accountant, post only after the open period and immutable tax provenance revalidate.
- 6
As Auditor, reconcile the tax application row, header snapshot, journal dimensions/source snapshot and evidence links. Confirm receipt allocation is exact, journals balance and no stock quantity or custody fact changed.
Field-by-field practice data
Apply one exact approved normal-charge purchase rule to a receipt-backed supplier invoice and reconcile immutable tax evidence through balanced posting. The page shows sample set A; the workbook includes independent A, B and C values.
Field names match the current application labels. Select existing approved records where shown, leave optional values blank unless they genuinely apply, and never copy fictitious TRAIN values into live work.
Select exact statutory and commercial sources
Choose the training legal entity, acknowledged PO, invoice date and exact active approved statutory-profile version.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Legal entity | Select existing | TRAIN-A-INDIA-OPS | Select the entity that owns the exact receiving site. |
| Acknowledged PO with received quantity | Select existing | TRAIN-A-PO-001 | Choose the PO with one eligible receipt-backed line. |
| Supplier invoice number | Required | TRAIN-A-SUP-INV-001 | Use a fictitious supplier reference unique for the training supplier. |
| Invoice date | Select existing | Current open-period date | Keep the date inside both the fiscal period and profile effectivity. |
| Approved statutory profile version | Select existing | TRAIN-A-FSL v2 | Select the exact active version from Flow 44. |
Expected result: The offered profile matches entity, receiving site, country, base currency, classification and date; no tax fact is inferred.
State line tax facts and calculate
Enter received quantity/price, select the eligible NORMAL purchase/goods rule, required place of supply and rationale, then attach CLEAN evidence and create the draft.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Invoice quantity | Required | 4.000000 | Do not exceed the unallocated exact receipt quantity. |
| Unit price | Required | 105.000000 | Enter the supplier price; the PO price remains pinned separately. |
| Approved purchase tax rule | Select existing | GST-LOCAL-18 | Use the active version's effective NORMAL purchase/goods rule. |
| Place of supply | Required | 29 | Enter the evidence-backed code; never derive it from the training address. |
| Tax determination rationale | Required | Training A supplier evidence supports the selected local purchase rule and place-of-supply fact. | Explain why the selected exact rule applies. |
| Supplier invoice evidence | Select existing | TRAIN-A-DOC-SUP-INV v1 · CLEAN | Attach same-site controlled evidence. |
Expected result: The server calculates basis, named components, recoverability and gross; the request contains no tax amount.
Approve and post unchanged provenance
Submit, independently accept any commercial variance, then post after final tax-integrity and open-period checks.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Controlled decision note | Required | Training A tax basis, components, receipt allocation and price variance independently verified. | Each actor records fresh evidence and rationale. |
| Recoverable tax | Read only | 75.600000 | Expected for two fully recoverable 9% components on basis 420. |
| Nonrecoverable tax | Read only | 0.000000 | A nonzero approved recovery split would post to the dedicated expense control. |
| Determination fingerprint | Read only | 64-character SHA-256 | Compare header, line applications and journal provenance exactly. |
Expected result: The exact profile checksum and determination fingerprint survive every transition and appear on each immutable journal line/source snapshot.
Reconcile boundaries
Trace the posted invoice, tax application, evidence and two journal sources and compare stock witnesses.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Tax status | Read only | APPLIED | A new invoice must never be UNRESOLVED or LEGACY MANUAL. |
| Approved purchase tax rule | Read only | GST-LOCAL-18 · NORMAL | Confirm reverse charge/withholding was not silently accepted. |
| Attributable note | Read only | Training A supplier tax provenance reconciled; numbering, returns and filing remain outside Flow 45. | Record the audit conclusion outside the immutable source rows. |
Expected result: Journals balance, receipt reservation remains exact, tax evidence is immutable and current stock/stock ledger do not change.
End state
One supplier invoice carries deterministic, evidence-backed statutory tax and balanced posting provenance without silent jurisdiction/rate inference or any numbering, return, filing, customer-tax, reverse-charge or withholding authority.
