Flow 00 — Item catalogue governance
Define nuts, bolts, materials, serialized parts, assemblies, tools and assets as governed supply identities before any receipt, assembly or custody transaction uses them.
Overview
Categories, item records, pack conversions, part references, specifications, approvals, BOM revisions, effectivity and alternates create no inventory. Item Master and Catalogue Governance may show a separate permission-aware, assigned-site/clearance-scoped physical stock context, but it is never joined into the item definition and cannot change quantity. Quantity enters only through a separately governed receipt or opening-stock migration.

Process
- 1Structure catalogue
Confirm categories, units and typed specification templates.
Inventory: 0 - 2Prepare identities
Model part, material, assembly, tool and asset usage.
Inventory: 0 · DRAFT - 3Apply controls
Set tracking, precision, conversions, references and specifications.
Inventory: 0 · non-operational - 4Independent approval
A different authorised reviewer approves the item revision.
Operational identity · Inventory: 0 - 5Release assembly BOM
Approve an acyclic, revisioned component structure.
Engineering definition · Inventory: 0 - 6Approve lifecycle rules
Govern effectivity, supersession and approved alternates.
Applicability only · Inventory: 0 - 7Audit readinessREAD ONLY
Verify history, downstream gates and scoped physical-versus-issuable context.

Detailed steps
- 1
As Company Administrator, open Catalogue governance → Catalogue map. Follow the category tree into its visible item identities and inspect nature, usage, tracking, unit, revision, specifications, BOM, reverse-used-by and lifecycle links; then confirm the parent/child categories, units of measure and typed category specification templates needed by the test identities.
- 2
As Materials Planner, create representative catalogue drafts for a bulk nut, batch-controlled bolt, batch shelf-life material, serialized repairable part, serialized assembly, calibrated serialized tool and serialized asset.
- 3
For each draft, set nature and usage independently; select the required NONE, BATCH, SERIAL or BATCH_AND_SERIAL tracking policy; add quantity precision, pack conversions, manufacturer/supplier references and required typed specifications.
- 4
Use Add item for controlled one-off entry or Programme operations → Migration for bulk onboarding. Replace every supplied E2E example, map legacy headers, validate, run database DRY RUN and then COMMIT; keep Opening Stock separate and blank for item-only import.
- 5
Submit the prepared item revisions. Attempt approval as the submitter and confirm it is rejected, then sign in as a different QA Head and approve the valid revisions.
- 6
Create an assembly BOM revision using approved components and normalized quantities. Confirm self-release and direct/indirect cycles fail, then have a different authorised user release the valid revision.
- 7
Create revision-effectivity, supersession and approved-alternate drafts with dates, serial or batch applicability, conversion and conditions. Submit them and have a different authorised user decide after reviewing the captured impact snapshot.
- 8
As a user with stock:read, inspect the compact Physical on hand and Available to issue facts in Item Master, then select the same identity in Catalogue Governance and expand the assigned-site, location, state, ownership, batch, serial and container breakdown. Confirm quarantine, reserved, blocked/MRB, repair and subcontractor balances are physical but not labelled issuable. As a user without stock:read, confirm the surface says Stock visibility not permitted and the API denies the read rather than returning zero.
- 9
As Auditor, verify the revision events, maker–checker actors, BOM release, lifecycle-rule impacts, classified-read audit facts and that every stock-context read leaves item identities, physical identities, custody, current stock and stock ledger unchanged.
Field-by-field practice data
Create a batch-controlled fastener and a released assembly definition in a disposable training tenant. The page shows sample set A; the workbook includes independent A, B and C values.
Field names match the current application labels. Select existing approved records where shown, leave optional values blank unless they genuinely apply, and never copy fictitious TRAIN values into live work.
Create the item draft
Choose Add item and enter the representative catalogue identity below. Select a material type whose number-assignment rule matches the exercise: enter this fictitious identifier for external assignment, or let an internal-assignment type issue its number on save. Save as a draft; do not enter opening stock. Then use the separate read-only stock context in Item Master and Catalogue Governance to distinguish scoped Physical on hand from unrestricted Available to issue.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Part number | Required | TRAIN-A-BOLT-M8 | Use this fictitious, unique identifier only when the selected material type allows external assignment; internal assignment generates the identifier on save. |
| Item name | Required | M8 aerospace bolt — training A | Use the plain-language controlled item name. |
| Commodity category | Select existing | Fasteners › Bolts | Select an existing category with the correct specification template. |
| Item nature | Required | PART | Nature and usage are separate controls. |
| Usage policy | Required | CONSUMABLE | Use RETURNABLE or REPAIRABLE only when physically true. |
| Tracking policy | Required | BATCH | The receipt must later carry a batch or lot. |
| Base unit of measure | Required | EA | Use the governed catalogue unit. |
| Base quantity precision | Required | 0 | Whole eaches do not require decimals. |
| Classification | Required | RESTRICTED | The operator must have matching clearance. |
| NSN (optional) | Optional | Leave blank | Leave blank unless formally assigned by an authorised codification process. |
Expected result: A non-operational DRAFT item exists with no current-stock or stock-ledger quantity. A user with stock:read sees scoped zero physical/available balances; a user without it sees Stock visibility not permitted, never a misleading zero.
Create and approve the next item revision
After revision A is approved, choose Create next revision draft, enter the human-confirmed code B, make one controlled draft change, submit it and approve it as a different named user. Inspect the immutable revision register and revision-scoped stock context before and after approval.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Item | Select existing | TRAIN-A-BOLT-M8 · Rev A | Select the existing approved immutable revision. |
| Human-confirmed revision code | Required | B | Confirm the customer/drawing-controlled code; Moduvio never silently increments it. |
| Review note | Required | Drawing-controlled coating note updated for training A. | Explain why a separately approved revision is required. |
Expected result: Revision A stays immutable and addressable while B is drafted or rejected. Approval makes B current and marks A SUPERSEDED for new selection without rewriting any A-pinned BOM, receipt or stock history. No quantity or ledger posting is created.
Create the assembly BOM draft
After a different QA Head approves the component revision, create a BOM revision for an approved training assembly and add the bolt as a component.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Parent assembly | Select existing | TRAIN-A-ACTUATOR-ASM | Select an approved ASSEMBLY item. |
| Revision | Required | A | Use the controlled engineering revision. |
| Output quantity | Required | 1 | Normalized component quantities are measured per this output. |
| Component | Select existing | TRAIN-A-BOLT-M8 | Select the approved component created for the same training set. |
| Quantity | Required | 4 | Four bolts are required for one assembly. |
| Scrap % | Optional | 0 | Enter process scrap only when the approved definition requires it. |
Expected result: The BOM remains a definition only; a different authorised user must release it and no inventory changes.
End state
Every item archetype has an independently approved, traceable operating definition; assembly and lifecycle rules are released without cycles or overlapping ambiguity; downstream transactions enforce the policy; authorised users can discover scoped physical versus issuable context without conflating it with the definition; and catalogue setup or stock-context reading has created or changed no stock.
