Tutorial: Turn exact technical identity into governed customer demand
Create an immutable estimate, internally release an outbound quotation, retain the external customer decision and approve a sales order whose only result is exact demand context.
Learning goal
Project / Contract Managers, Accountable Executives, Materials/Production Planners and auditors.
Complete Flow 40 while proving that commercial governance does not silently become manufacturing, supplier procurement, inventory, shipment, messaging or finance.
Before you begin
- Use an authorised disposable training tenant
- One exact item revision is current and APPROVED or one product baseline is current and RELEASED
- Same-site CLEAN controlled evidence is available
- Different named author, approver and customer-decision users are available
- Customer, project, contract, quantity and required date are known
Observation-first is the default. Do not create retained customer, procurement, receipt, inventory, Quality, Engineering or Manufacturing records merely to complete a tutorial.
Guided journey
- 1ProgrammeOpen /programme/customer-commercial
Create the exact-source estimate
- Acting role
- Project / Contract Manager
- What to do
- Select an exact approved item revision or released product baseline for each line, enter quantity/UOM/date/cost and assumptions, then attach CLEAN evidence and save v1.
- What you should observe
- The immutable version shows source snapshots and a SHA-256 fingerprint; an unapproved, superseded or out-of-scope source is rejected.
May changeEstimate/version/line/evidence, audit and outbox facts only.
Must remain unchangedItem definitions, product baselines, projects, demand, stock and every operational domain remain unchanged.
- 2ProgrammeOpen /programme/customer-commercial
Submit and independently approve
- Acting role
- Author → different Project / Contract Manager or Accountable Executive
- What to do
- Submit the exact estimate version and approve or reject it as a different named user.
- What you should observe
- Self-approval fails; rejection remains immutable and correction requires another version.
May changeEstimate decision and attributable evidence only.
Must remain unchangedApproval creates no quotation, sales order, execution, commitment or quantity.
- 3ProgrammeOpen /programme/customer-commercial
Price and release the quotation
- Acting role
- Project / Contract Manager → different approver
- What to do
- Create the quotation from the exact approved estimate, enter unit prices/terms, submit it and obtain independent internal release.
- What you should observe
- The released response explicitly reports that no external delivery occurred.
May changeQuotation/version/line/decision/evidence facts only.
Must remain unchangedNo email, callback, portal, signature, shipment, accounting or notification is created.
- 4ProgrammeOpen /programme/customer-commercial
Record the customer decision
- Acting role
- Separate eligible recorder
- What to do
- From externally obtained controlled evidence, record ACCEPT or DECLINE with decision date, customer reference and signer name.
- What you should observe
- The append-only fact is attributable and a prior quotation approver cannot record it.
May changeOne decision fact, evidence, audit and outbox only.
Must remain unchangedAcceptance does not silently create a sales order or any external assertion.
- 5ProgrammeOpen /programme/customer-commercial
Capture and approve the order
- Acting role
- Project / Contract Manager → different approver
- What to do
- For ACCEPT only, create the order from the exact accepted quotation, confirm customer/project/contract/line dates, submit it and approve independently.
- What you should observe
- Approval creates one OPEN demand row per order line, each pinned to the exact item revision or product baseline.
May changeSales-order/version/line/decision and demand facts only.
Must remain unchangedNo project, work order, RFQ, PO, receipt, shipment, invoice, stock or custody transaction is created.
- 6Programme / Supply / ManufacturingOpen /programme/customer-commercial
Read demand and prove isolation
- Acting role
- Materials/Production Planner → Auditor
- What to do
- Open Demand as a scoped planner, then reconcile the immutable chain as Auditor and compare operational witnesses.
- What you should observe
- Demand-only users see planning identity/date/quantity without commercial prices; later operational work requires a separate action in its owning module.
May changeClassified read audit only.
Must remain unchangedCurrent stock, stock ledger, receipt, Supply, Manufacturing, shipment, notification, identity and finance records remain authoritative and unchanged.
