Supplier lifecycle
Maintain governed supplier identity, site, qualification scope and time-bounded versions before the supplier becomes eligible for controlled sourcing.
Screen orientation
Supplier readers see only authorised tenant/site/classification evidence. Lifecycle authoring and independent decisions are separated by server-side permissions.
Search the supplier lifecycle register, open a supplier to inspect its retained versions and scope, then create a draft or a controlled successor version when a change is required.
Field reference
The entries below describe the current screen controls and read-only values. They do not relax server-side validation, site scope, classification handling or required independence in a governed decision.
| Field or value | Control | Required or shown when | How to use or read it | Result |
|---|---|---|---|---|
| Supplier code | Text | Required; controlled supplier identity. | Use the organisation’s stable supplier code. Do not reuse a purchasing reference or location name as the supplier identity. | Identifies the supplier across qualification and sourcing records. |
| Legal name | Text | Required. | Enter the legal contracting entity. Trading name is separate and optional. | Provides retained legal identity for the controlled supplier record. |
| Supplier site | Repeatable location | Required for a source location that will be qualified. | Record the actual supplying/receiving site, including country and controlled address summary, rather than a generic corporate contact. | Scopes the qualification and later sourcing eligibility to the exact supplier location. |
| Qualified object | Select | Required for a qualification scope entry. | Select the item, commodity, service or category to which the qualification applies. Do not treat a supplier-wide status as blanket approval for every item. | Defines the exact permissible sourcing scope. |
| Valid until | Date | Required when the qualification is time-bounded. | Use the approved end date. A date in the past makes the version ineligible for new sourcing. | Constrains future eligibility while retaining the historical version. |
| Qualification and due-diligence evidence | Controlled document select | Required for a governed qualification/decision. | Select CLEAN, accessible evidence from the correct site and classification scope. | Pins the evidence version to the supplier lifecycle decision. |
| Reason for this immutable version | Long text | Required for a new successor version. | Explain the controlled change or reassessment. Do not overwrite a previously approved rationale. | Makes the version history attributable and reviewable. |
Actions and effects
When to use: When supplier identity, site, scope or qualification needs controlled authoring.
What it does: Creates a draft version; it does not make the supplier eligible until independently approved.
When to use: After required scope and evidence are complete, then by an independent authorised reviewer.
What it does: Moves the exact version through its governance state while retaining its evidence.
Lists and states
- Supplier register: supplier code, lifecycle state, sites and qualification timing show whether a source may be considered.
- Qualification scope: item/category/service, site and valid-to date are an exact eligibility boundary, not a supplier performance score.
Authority boundary
Supplier lifecycle controls eligibility and evidence. It does not create RFQs, issue POs, receive material, alter inventory or release payment.
