Flow 10 — Part requisition to fulfilment
Capture a multi-line work-centre demand, independently approve it, reserve available identities and route genuine shortages into existing governed supply workflows.
Overview
Draft, submission, approval and shortage routing are zero-stock demand events. Inventory changes only when a Materials Planner reserves an exact balance, Stores issues the resulting kit, or a separately governed transfer/receipt workflow posts custody movements.
Requester / Materials Planner → different Project / Contract Manager → Materials Planner → different Stores Officer → Auditor
Process
- 1Multi-line request
Record site, work centre, need date, priority, purpose and approved items.
Demand only · Inventory unchanged - 2Independent approval
A different manager verifies the operational demand.
Approved demand · Inventory unchanged - 3Availability splitREAD ONLY
Show unrestricted availability, reservations, issues and shortage per line.
Read-only calculation - 4Reserve available
Planner selects exact bin, ownership and batch/serial identities.
UNRESTRICTED → RESERVED - 5Route shortage
Link a verified replenishment proposal, receipt authority or transfer.
No automatic transaction - 6Independent issueREDUCED
A different Stores Officer scans and issues the reserved kit.
On hand reduced by issued quantity

Detailed steps
- 1
Create one requisition containing every required approved catalogue item and quantity; confirm duplicate item lines are rejected.
- 2
Submit the draft and sign in as a different Project / Contract Manager to approve or reject it.
- 3
Review each line's available, reserved, issued, remaining and short quantities; confirm these are derived from current custody rather than copied into the request.
- 4
As Materials Planner, select exact unrestricted balances and reserve only the available quantities into one controlled multi-line kit.
- 5
For a genuine shortage, complete the normal replenishment, receipt-authority or transfer workflow, then link its verified reference and routed quantity to the affected line.
- 6
Have a different Stores Officer issue the reserved kit and confirm the requisition line changes from reserved to issued without losing its downstream references.
Field-by-field practice data
Request four training bolts for an assembly cell and route one shortage without creating stock. The page shows sample set A; the workbook includes independent A, B and C values.
Field names match the current application labels. Select existing approved records where shown, leave optional values blank unless they genuinely apply, and never copy fictitious TRAIN values into live work.
Create a part requisition
Enter the work-centre demand and its exact line quantity, then submit it for independent approval.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Required site | Select existing | COM-01 | Select the consuming site. |
| Requesting work centre | Required | Assembly Cell A | Name the demand owner. |
| Required date | Required | 2026-10-15 | Use the operational need date. |
| Priority | Required | NORMAL | Escalate only when operationally justified. |
| Project / programme | Required | TRAIN-A-PROJECT | Retain programme provenance. |
| Contract reference | Required | TRAIN-A-CONTRACT | Retain contract provenance. |
| Operational purpose | Required | Build training actuator A | State why the demand exists. |
| Quantity | Required | 4 | Enter demand in the approved item unit. |
| Line notes | Required | M8 batch-controlled bolts for operation 20. | Add specific selection or handling constraints. |
Expected result: The requisition records demand and availability; reservation or downstream sourcing remains a separate action.
End state
Every demand line remains traceable from requester and approval through exact stock issue or governed shortage action, without allowing a requisition to become autonomous procurement or inventory authority.
