8. Subcontractor custody and reconciliation

Purpose

Account for material outside Comrado custody, including partial return, loss and authorised scrap.

Before you begin

• Approved active vendor and unrestricted stock exist
• CLEAN delivery and loss/scrap authority versions exist in Documents

Procedure

1. 1

   Select the exact unrestricted balance, then camera-confirm its source location and batch, serial or bulk part identity. The server rechecks both scans before dispatch under the project, contract, job-work and authority references.

2. 2

   For a partial return, camera-confirm the challan, material identity, return document, quarantine label and custody seal; inspect each decoded preview before receiving into quarantine with the stored delivery-document version.

3. 3

   As Project Manager, record a separately authorised loss or scrap quantity and select the stored authority version.

   Review outstanding quantity and overdue ageing.

Expected result

• External custody is visible as AT_SUBCONTRACTOR
• Project Manager cannot perform physical dispatch/receipt
• Source, challan, material and quarantine scan mismatches are rejected before any stock movement
• Challan closes only when every unit is returned, lost or scrapped
• Permanent loss/scrap links the CLEAN immutable evidence version and retains audit provenance
