New inbound receipt

Capture physical receipt evidence against an authorised source and place material into quarantine. The form makes quantity exist under custody; it does not make material usable stock.

Screen orientation

Who can use it

Only authorised Inventory roles with the selected site and classification scope can create or view the controlled receipt path. Eligible authorities, ASNs and item revisions are filtered by that scope.

How the screen is arranged

Choose the source and location context first, add one or more receipt lines with their exact identity evidence, then review the quarantine destination before submitting the record.

Field reference

The entries below describe the current screen controls and read-only values. They do not relax server-side validation, site scope, classification handling or required independence in a governed decision.

Field or valueControlRequired or shown whenHow to use or read itResult
SiteSelectRequired.Select the receiving site where the physical material is under custody. Do not use a supplier or project location here.Scopes the receipt, available authorities and later inspection/putaway work.
Authority lineSelectRequired where an approved receipt authority applies.Select the exact approved line that permits the physical receipt. It is a ceiling and provenance source, not a stock record.Links the receipt to authorised expected material and quantity.
Advance shipment noticeSelectOptional unless the receipt path requires an ASN.Choose the supplier’s matching ASN when one exists. Do not create a separate receipt merely to record an ASN reference.Retains the supplier-provided inbound context.
ItemSelectRequired for each receipt line.Select the approved catalogue revision matching the physical material. The item controls required identity, shelf-life and traceability evidence.Defines the controlled material being received without altering the item catalogue.
Received quantityDecimalRequired; must be positive.Enter the quantity actually under custody in the item’s base unit. Do not enter an expected quantity unless it was physically received.Creates quarantined quantity after submission, subject to authoritative checks.
Batch / lot numberTextRequired when the item tracking policy requires lot control.Record the supplier/manufacturer lot exactly. Do not merge different lots into one entry.Creates retained lot-level traceability evidence.
Manufacture / expiry datesDates per physical lotRequired for shelf-life-controlled material; expiry is required when a site minimum applies.Capture each lot separately. Manufacture cannot be in the future; supplied expiry cannot extend known manufacture plus approved revision life. Omitted expiry is derived from that revision.Every lot must meet the approved site minimum at creation and again at quarantine submission; the exact minimum is accepted.
OEM serials / Internal serialsRepeatable textRequired when the item is serial controlled.Record each physical identity once. Use Internal serial assignment only where the process authorises an internal identity.Creates exact serial evidence for custody and genealogy.
Contract / unit cost / currency / projectAuthority-pinned cost evidenceContract, cost and currency travel together when costing is present; project is optional for shared stock.Use the exact authority values. MRP-derived PO authorities keep the retained material revision. A shared receipt must not invent a project; pooled project contributions still require project identity.Cost or contract mismatches fail before receipt creation. This captures inbound evidence and does not establish a new valuation method.
Quarantine locationSelectRequired.Select an authorised quarantine location at the receiving site; do not select a usable or arbitrary bin.Sets the initial custody location and keeps material unavailable until independent disposition.

Actions and effects

Add receipt line

When to use: For each distinct item, lot, serial set or controlled receipt context.
What it does: Keeps line-level identity evidence separate under one receipt.

Submit receipt

When to use: After source, quantity, identity and quarantine data are complete.
What it does: Records the controlled inbound fact and quarantined balance; it does not accept, put away or release stock.

Lists and states

  • Receipt lines: compare item, expected/received quantity, identity evidence and quarantine location before submission.
  • Receipt register: use the receipt number and status to find the authoritative inbound record, not as a substitute for a GRN or inspection result.

Authority boundary

Receipt is the physical-custody entry point. It does not independently approve material, create usable stock, post finance or alter supplier qualification.
