Item catalogue
Create and maintain the controlled definition that every inventory, supply and manufacturing record selects. An item definition does not create quantity, stock or a physical identity.
Screen orientation
Visible to permitted catalogue readers. Creating or revising an item requires the catalogue authority exposed by the screen; approval controls are available only to an independent permitted decision-maker.
The list is the starting point: search and sort existing items, then open an item to read its revision history or use the create/revision editor. Commodity categories are managed from the same surface.
Field reference
The entries below describe the current screen controls and read-only values. They do not relax server-side validation, site scope, classification handling or required independence in a governed decision.
| Field or value | Control | Required or shown when | How to use or read it | Result |
|---|---|---|---|---|
| Part number | Text | Required; unique within the tenant. | Use the controlled manufacturer or internal part identifier. Do not use a serial, receipt number or supplier quotation number. | Becomes the stable catalogue identity used by later selections and evidence. |
| Item name | Text | Required. | Use a short, recognisable controlled name. Put technical detail in Description rather than packing multiple identifiers into the name. | Displays in catalogue, receipt, inspection and planning selections. |
| Revision | Text | Required for a new controlled revision. | Use the approved engineering or catalogue revision identifier. Create a new revision rather than changing an approved definition in place. | Pins the definition used by a governed downstream record. |
| Tracking policy | Select | Required. | Choose the identity granularity the item needs, such as quantity, lot/batch or serial control. The policy determines which inbound identity fields become relevant. | Controls the receipt and traceability evidence expected for the item. |
| Base unit of measure | Select | Required. | Choose the unit in which authoritative quantity is held. Use Alternate unit only for a documented conversion, not to change stock units later. | Sets the quantity unit used by balances and ledger facts. |
| Security classification | Select | Required. | Set the access-clearance level. This is distinct from technical classes and category characteristics. | Filters access to the current item and historical definition evidence. |
| Stocked material type | Select | Required before submitting or approving newly maintained basic data; untouched retained identities may remain Unspecified. | Choose raw material, semifinished, finished product, trading good, spare part or operating supply independently of nature and tracking. | Retains a revisioned stocked product-role classification; it does not implement nonstock/service or quantity/value policy. |
| Base material / industry / external material group / division / product hierarchy | Text | Optional common descriptive data. | Use controlled organizational terminology; supplier/customer/legacy part references remain in their own register. | Retained in the item revision and workbook Basic Material Data JSON. |
| Net/gross weight, volume, dimensions and units | Exact decimals and governed unit selectors | Measurement and dimension-correct unit must be entered together. Gross weight cannot be less than net weight. | Use measurements per base unit; mass, volume and length units are validated against the active unit catalogue. Values retain up to six decimal places. | Stores exact physical metadata without changing ledger quantities or operational valuation. |
| Descriptions by language | Repeatable language/name/description rows | Valid unique language tags; name required for each added row. | Use tags such as en-IN or hi. The canonical Item name remains available as fallback. | Revisioned language-dependent names and descriptions are searchable in the item register. |
| Shelf life in days (optional) | Number | Optional; enter only when the controlled item has shelf-life control. | Use the approved duration, not an estimated expiry date. Receipt manufacture/expiry evidence is still recorded at inbound. | Enables the item’s shelf-life controls without manufacturing stock. |
Actions and effects
When to use: After the required identity, control and classification fields are complete.
What it does: Creates a controlled draft definition; it does not create a receipt, stock balance, asset or ledger movement.
When to use: Open a revision in Catalogue Governance.
What it does: Verifies the stored checksum, checks both current and historical classification, and audits the evidence read. Original physical metadata and descriptions remain visible after a replacement revision.
When to use: When an approved definition needs a governed change.
What it does: Preserves the earlier revision and creates a separate version for review/approval.
When to use: When a commodity category needs an authorised controlled definition.
What it does: Changes catalogue classification only; it does not reclassify historical material automatically.
Lists and states
- Item list: part number, revision, tracking, lifecycle and classification identify the selected controlled definition.
- Revision history: use it to distinguish the current authorised definition from older retained evidence.
Authority boundary
This screen owns catalogue definition only. It never receives, inspects, moves, reserves, issues or values stock.
