Flow 15 — Suspect-counterfeit S1 acceptance
Escalate one exact held identity into dedicated evidence preservation, authenticity investigation, QA outcome proposal, independent Security concurrence and controlled closure.
Overview
Counterfeit handling starts only after the exact batch, serial or container is already BLOCKED or MRB_HOLD. The case never moves, releases, repairs, destroys or returns material; closure requires the identity to remain held for a separate MRB/authority path.
Quality Inspector → different QA Head → different Quality Engineer → QA Head → different Security & Compliance Officer → QA Head → read-only stakeholders
Process
- 1S1 suspect
Link one contained supplier/product-safety NCR to exact held stock.
Already BLOCKED/MRB HOLD · no movement - 2Evidence preserved
Record seal, controlled location, method and chain of custody.
Held identity revalidated · unchanged - 3Investigation
QA assigns a separate Quality Engineer after preservation.
Assignment fact · Inventory unchanged - 4QA proposal
Engineer submits findings/impact; QA proposes outcome and recurrence controls.
Recommendation only · no release authority - 5Security concurrence
Separate Security reviewer rejects or concurs with provenance and impact assessment.
Joint decision gate · stock still held - 6Decided
Concurred outcome retains notification need and controlled custody recommendation.
Decision fact · no external delivery - 7Closed while held
QA closes with custody reference and evidence after held-stock revalidation.
Investigation closed · suspect stock retained
Role handoff

Detailed steps
- 1
As Quality Inspector, first raise and contain an S1 STOCK IDENTITY NCR with supplier, item, exact BLOCKED/MRB_HOLD location/state/ownership/batch/serial/container and quantity. Then open Quality → Suspect counterfeit and raise the dedicated case.
- 2
Record the tamper/seal reference, controlled storage reference, preservation method, chain of custody and CLEAN evidence. Confirm the endpoint revalidates the same exact held identity without posting a stock transaction.
- 3
As a different QA Head, assign a separate eligible Quality Engineer. Confirm the case originator cannot become the investigator.
- 4
As the assigned engineer, record authenticity methods, provenance, marking/test and custody findings, recommendation, traceability impact and at least one searchable batch/serial/container/product/project/shipment impact link with CLEAN evidence.
- 5
As QA Head, propose outcome, custody recommendation and recurrence controls. Confirm confirmed/inconclusive material cannot be recommended for release review and the proposal does not execute custody change.
- 6
As a separate Security & Compliance Officer, reject proposal v1 and confirm it remains immutable while the case returns to QA. Review corrected proposal v2 and concur after provenance, custody, cross-programme impact and notification assessment.
- 7
As QA Head, close with retained-custody/follow-up authority, required notification reference and CLEAN evidence. Confirm the exact material still exists in BLOCKED/MRB_HOLD and no external message was sent.
- 8
As Supplier Quality Engineer, Buyer, Procurement Manager and Auditor, read the complete chronology and confirm mutations are denied, parent NCR closure was gated, supplier status is unchanged and stock/ledger totals did not change.
Field-by-field practice data
Open a suspect-counterfeit case from an already contained S1 training NCR. The page shows sample set A; the workbook includes independent A, B and C values.
Field names match the current application labels. Select existing approved records where shown, leave optional values blank unless they genuinely apply, and never copy fictitious TRAIN values into live work.
Raise the suspect case
Select the exact held NCR and record the authenticity basis before assigning investigation.
| Exact field name | Requirement | Sample value A | How to use it |
|---|---|---|---|
| Contained S1 NCR | Select existing | TRAIN-A-NCR-CF-001 | The source must already reference held stock. |
| Authenticity standard | Required | AS5553 / company counterfeit-control procedure | Use the applicable controlled basis. |
| Supplier CAGE | Required | TRNA1 | Record the supplier identifier exactly. |
| Manufacturer CAGE (optional) | Optional | TRNA2 | Leave blank when not established. |
| Classification | Required | RESTRICTED | Match the investigation evidence. |
| Basis for counterfeit suspicion | Required | Marking and certificate trace do not reconcile to the approved manufacturer record. | State objective suspicion indicators. |
| Seal reference | Required | TRAIN-A-SEAL-001 | Record the preservation seal. |
| Controlled location reference | Required | MRB-01 | Use the actual held location. |
| Preservation method | Required | Sealed evidence bag with photographed markings and custody log. | Describe preservation controls. |
Expected result: Evidence is preserved and custody remains held; case creation does not destroy, return or release material.
End state
One closed S1 counterfeit investigation retains exact held-identity provenance, preservation, searchable impact, immutable rejected/concurred decision versions and joint QA/Security authority while custody, supplier return and external notification remain separately governed.
