Procurement
Take approved demand or a current firmed MRP BUY proposal through governed RFQ, quotation, award, purchase order and acknowledgement records. MRP sourcing creates only a draft RFQ; Procurement creates commitments, not inventory, inspection or payment.
Screen orientation
Actions depend on the caller’s Supply role, site/clearance scope and workflow separation. Supplier selections are limited to eligible lifecycle evidence and the configured policy route.
Use the tabs or record lists to move from demand/RFQ to quotations, award and PO. Each record exposes its policy snapshot, approved evidence and current workflow actions.
Field reference
The entries below describe the current screen controls and read-only values. They do not relax server-side validation, site scope, classification handling or required independence in a governed decision.
| Field or value | Control | Required or shown when | How to use or read it | Result |
|---|---|---|---|---|
| Receiving site | Select | Required for RFQ/PO context. | Choose the controlled site that will receive the commitment. The selection filters eligible supplier evidence and downstream authority context. | Pins the procurement record to a site without receiving physical material. |
| Firmed MRP BUY proposal | Retained planning proposal | Optional alternative demand source for an RFQ line. | Select a currently firmed BUY proposal from a retained MRP run. The line keeps the exact run, proposal, item revision, quantity, base unit, need date, project and ownership; stale evidence or an existing active RFQ blocks reuse. | Creates a draft RFQ line only. When the retained proposal has a selected supplier, include that supplier among invitees. Issue rechecks the selected source, current firming and planning evidence; it never creates a PO, reservation or stock movement. |
| Procurement category | Select | Required. | Choose the policy-relevant category, not an informal description. It contributes to the published route and required controls. | Determines which approved procurement policy route is materialised. |
| Project / programme | Select | Required where the demand is project-bound. | Select existing governed demand context. Do not create a project or change its scope from this screen. | Associates the commitment with approved context only. |
| Supplier quotation | Repeatable record | Required for the route’s competitive or exception evidence. | Enter the supplier, quotation reference, price/terms and attached CLEAN evidence exactly as received. | Provides immutable award evidence for the selected route. |
| Allowed exception category | Select | Required only on an exception route. | Choose the policy-approved exception, then supply the attributable route justification and controlled evidence. | Records an auditable exception without bypassing the published workflow. |
| Ordered quantity | Decimal | Required on a PO line; must be positive. | Enter the committed quantity in the governed source unit. It remains a commitment until the authorised receipt path records physical custody. | Sets the PO line commitment and potential receipt-authority ceiling. |
| Delivery window start / end | Date | Required when the PO schedule requires a delivery window. | Enter the agreed window; use schedule revision controls for later supplier changes. | Retains the controlled delivery expectation without changing stock availability. |
Actions and effects
When to use: After approved demand and policy route context are selected.
What it does: Creates a governed sourcing request and policy snapshot; it does not reserve or receive material.
When to use: When a planner has reviewed and firmed a current retained BUY proposal.
What it does: Creates one exact-source draft RFQ line. Current evidence is checked again at issue; no downstream purchase commitment is created.
When to use: After route-specific evidence and independent approvals are complete.
What it does: Creates the controlled supplier commitment and, where authorised, a pending receipt authority.
When to use: Released order before any supplier response, shipment, receipt authority, receipt or invoice, with no open order changes.
What it does: Enter a reason, then obtain an independent decision with rationale. Pending review freezes changes but retains planning commitments; approval cancels the whole order, revokes supplier links and removes current supply/quota. History remains; partial cancellation and returns are separate.
When to use: When a supplier response is received through the governed path.
What it does: Adds attributable commercial/delivery evidence; it does not create an ASN or physical receipt.
Lists and states
- RFQ / quotation lists: compare source demand, published route, suppliers and evidence without treating a quote as an award.
- PO list: use status, committed quantity, receiving site and acknowledgement state to identify the authoritative commitment.
Authority boundary
Procurement owns sourcing and commitments. It never creates ASN/GRN, stock, inspection, custody, invoice, tax, payment or accounts-payable postings.
