9. GS1 labels, genealogy and audit dossier
Prove that a batch or serial can be labelled and traced from supplier origin to current custody and linked evidence.
Purpose
Prove that a batch or serial can be labelled and traced from supplier origin to current custody and linked evidence.
Stores Officer, Auditor
Trace batch FCA2408A and serialized tool TW120-0087; export dossier DOS-CA-2608-001.
Before you begin
- Receipt and at least one downstream stock movement exist
- At least one controlled evidence version is linked by a quality or custody action
Finding a batch or serial
The lot/batch number shared by a quantity of material, or the unique serial number assigned to one unit. A user should select or scan it; they do not need to memorise a long value.
Focus the identity field to see recent identities, or type at least two characters from the identity, part number or item name. Each result shows item context, identity type, classification and current stock context before selection.
Opens a paginated list of authorised batches and serials. Search it by identity or item and filter to batch-only or serial-only results.
On a supported phone or handheld, Camera decodes the printed barcode locally and shows an operator-confirmation preview. Moduvio separates supported GS1 part, batch, serial, quantity and receipt fields; traceability uses the serial first, otherwise the batch. A USB/Bluetooth keyboard-wedge scanner can also type into the field, and manual paste remains available for local testing.
The latest identities in the user's assigned sites and at or below their clearance. Current on-hand identities appear first; historical zero-balance identities remain available for audit traceability.
Auto-detect is the normal choice. Selecting a suggestion automatically sets Batch or Serial; the explicit filter is available when the same text could exist as both types.
Procedure
- 1
Generate both supported GS1-128 label sizes and validate the encoded identity.
- 2
As Auditor, focus Batch or serial identity and select a recent value, type at least two characters for autocomplete, open Browse, or scan the printed label. Confirm results contain only authorised site/classification data.
- 3
Select the identity; confirm Batch/Serial is set automatically and the exact value is copied into the query field.
- 4
Trace the identity and expand backward origin and forward custody branches.
- 5
Export and re-download the classified PDF dossier.
Expected result
- Label rendering snapshot and SHA-256 are retained
- Autocomplete, recent and paginated browse results observe permission, site scope and clearance before identity or item context is returned
- Users can select or scan long identities rather than memorising them
- Ledger, inspection, current balance and immutable document-version identifiers reconcile
- The dossier distinguishes stored versions from compatible legacy evidence references
- Each dossier export is attributable and integrity-hashed
