16. Multi-line part requisitions

Provide one attributable demand record that splits available and short quantities and follows every line into exact stock issue or a separately governed supply action.

Purpose

Provide one attributable demand record that splits available and short quantities and follows every line into exact stock issue or a separately governed supply action.

Roles

Requester or Materials Planner, different Project / Contract Manager, Materials Planner, different Stores Officer, Auditor

Example

REQ-20260824-EXAMPLE: Flight Controls Assembly Cell needs 4 actuators and 24 fasteners for PROJECT-LCA by 2026-09-01.

Before you begin

  • Requested parts are active and catalogue-approved
  • Requester and approver are different named users
  • Site and classification are within every actor's scope
  • Any downstream proposal, authority or transfer is created in its normal governed module before linking

Demand and transaction boundary

Requisition

The business need: site, work centre, required date, priority, purpose and multiple item quantities. It creates no reservation, purchase order or stock.

Available

Current positive UNRESTRICTED quantity at the requisition site and within the viewer's clearance. It is recalculated; it is not an approval-time promise.

Short

Remaining unallocated demand minus current available unrestricted stock. Reserved and issued requisition quantities are reported separately.

Exact allocation

The Materials Planner chooses the controlled location, ownership pool and batch/serial balance. This is the first requisition action that changes stock state by creating a RESERVED kit.

Downstream link

A server-verified replenishment proposal, receipt authority or stock transfer reference for the same item and site. Linking records intent/provenance only; the linked workflow retains its own approvals.

Fulfilment

A line becomes fulfilled only after its linked material kit is actually ISSUED. Approval or a routed shortage is never misreported as physical fulfilment.

Procedure

  1. 1

Create a draft with one or more item lines, then submit it.

  2. 2

Have a different Project / Contract Manager approve or reject it; confirm self-approval is blocked.

  3. 3

Open Plan fulfilment and compare each line's requested, available, reserved, issued, routed and short quantities.

  4. 4

Reserve selected exact balances; confirm the generated kit uses the requisition number as its work-order reference.

  5. 5

For short lines, create the appropriate governed source record and link its verified reference and quantity.

  6. 6

Issue the kit as a different Stores Officer, refresh the requisition and confirm issued quantities and fulfilment status update from the live kit status.

Expected result

  • Creating, submitting and approving a requisition never changes stock
  • One requisition supports multiple distinct catalogue items
  • Requester cannot approve their own request
  • Allocation cannot exceed either unrestricted stock or the unallocated request quantity
  • Serialized allocations are exactly one
  • Downstream links must resolve to the same item and requisition site
  • Only an ISSUED kit counts as fulfilled
  • Audit and outbox history retain every actor, decision, allocation and downstream reference
