Goods receipts
Search and inspect retained goods receipts, complete deferred serial identity evidence, submit eligible drafts to quarantine and read or issue the fixed controlled GRN record at its governed stage.
Screen orientation
Receipt reads, receipt writes, tolerance decisions, serial capture, controlled-record issuance and PDF download are separate permissions. Every result and action remains assigned-site and classification scoped.
The register supports search, sort and permission-aware actions. View opens exact source, line, inspection-policy and GRN timing evidence; pending serial lines expose the bounded preview/commit panel only to authorised roles.
Field reference
The entries below describe the current screen controls and read-only values. They do not relax server-side validation, site scope, classification handling or required independence in a governed decision.
| Field or value | Control | Required or shown when | How to use or read it | Result |
|---|---|---|---|---|
| Search receipts | Search | Optional. | Search by receipt, PO, ASN, supplier, item, batch or creator. A hidden classified receipt is never disclosed by a result count. | Filters the scoped register only. |
| Sort by | Select | Optional; defaults to created date. | Sort by created date, receipt number, status or PO/subcontract and choose direction for review. | Changes presentation without changing record order or state. |
| Receipt number / PO or subcontract / ASN | Read-only | Always inspect before action. | Use these together to confirm physical arrival and source authority. A receipt number is also the fixed controlled GRN document number when issuance occurs. | Identifies the retained inbound record and provenance. |
| Status / Tolerance / Screening | Read-only badges | Server derived. | Confirm all three gates. A draft with pending identity capture or non-current screening cannot be submitted to quarantine. | Explains which permission-aware actions are eligible. |
| Received material | Read-only line table | Present for every receipt. | Review exact item revision, lot ordinal, quantity/unit conversion, batch, serial count, ownership and shelf-life facts. | Shows immutable line evidence; it is not an editable stock grid. |
| Bulk serial identity capture | Scanner, paste and review | Required only for a DRAFT line marked PENDING. | Preview the complete exact-count 1–500 serial set, review OEM/internal/asset aliases and commit once with an idempotency key. | Creates immutable physical-identity capture evidence but no stock or ledger quantity. |
| Incoming inspection expectations | Read-only policy snapshot | Present when governed procurement supplied a snapshot. | Verify the exact level, role, evidence types and sampling reference pinned to this receipt. | Explains the later Quality gate without performing disposition. |
| GRN timing stages | Read-only stage projection | Loaded for the selected receipt. | Read the fixed stage progression, governed/legacy/policy-error mode and exact policy/rule/hash lineage. | Shows presentation and issuance eligibility without changing receipt state. |
| Issuance note | Long text | Required only when issuing an eligible controlled GRN record. | Add a bounded attribution note; do not use it as a template or external-delivery instruction. | Becomes immutable issuance evidence in GRN_CONTROLLED_DOCUMENT_V1. |
| Artifact identity / Renderer / PDF hash | Read-only | Present only for a new artifact-backed issuance. | Verify the fixed renderer, size and SHA-256 before using the separately authorised download. | Identifies stored encrypted bytes; legacy issuance without an artifact remains unavailable for regeneration. |
Actions and effects
When to use: For any visible receipt.
What it does: Loads exact receipt, policy, serial-capture and GRN evidence without a list-wide mutation.
When to use: When every source, screening and identity gate is complete, with a separate supervisor decision for an exception.
What it does: Posts only the existing governed receipt-to-quarantine path and retains maker-checker evidence.
When to use: Only at the configured stage and with the separate required permissions.
What it does: Creates one immutable stored artifact or downloads the verified stored bytes; it never prints, emails, publishes or externally delivers.
When to use: Only for an eligible unsubmitted or tolerance-pending receipt.
What it does: Retains audit history and releases permitted unused source allocation; submitted custody evidence is not deleted.
Lists and states
- Receipt register: status, tolerance, screening, source, site, line count and creator distinguish draft, exception and custody states.
- Receipt detail: exact revision/lot/serial/quantity, incoming policy and GRN evidence explain the retained transaction.
Authority boundary
This register controls existing inbound records. Serial capture does not post stock; GRN issuance/download does not deliver externally; no action edits submitted history, approves material for use or posts finance.
